Instructions
You can cut, copy, and paste various types of content into your PowerPoint. For example, text paragraphs and diagrams. There are different aspects to consider regarding the paste options. The way you choose to paste the content can affect the font, size, color, and format of the content. When you paste content as an image, your ability to edit the content afterwards is affected. Some paste options should be used with caution to protect confidential information; such as embedding copies of the workbook when pasting diagrams.
Paste text
- Select content from any file and copy it.
- Go to the file where you want to paste the content.
- There are several ways to paste content. Click on the downward arrow under Paste to access various paste options.
- With the option Use destination theme, the text is adjusted to match the appearance of the document you are pasting the text into.
- Another option is Keep source formatting. With this option, the text's appearance is preserved. The font, size, color, and format will look like in the file you copied the text from.
- In the third option, Picture, the content is pasted as an image. The text will look like in the file you copied the text from.
- The last option, Keep text only, is often the safest option to avoid unintentionally pasting unwanted formatting into your presentation. As the name suggests, only unformatted text is preserved, while the appearance of the text is not retained.
Paste tables
- Select the Paste option when copying a table from Excel. The paste menu is dynamic. It offers different options based on the content in the clipboard.
Paste charts
When you paste diagrams, the paste menu presents new options again. Note that several options include embedding a copy of the workbook in your presentation. The workbook may contain confidential information. Use this option with caution.
- With the option Use Destination Theme & Embed Workbook, you embed your workbook. Theme colors and fonts are adjusted to the presentation you are pasting into.
- With the option Keep Source Formatting & Embed Workbook, you embed your workbook. Colors and fonts from the Excel file you are copying from are preserved.
- Use Destination Theme & Link Data allows you to use theme colors and fonts from the presentation you're pasting into and link to the data file. It's a secure option as the user needs access to the data file to view or update the data.
- When you use Keep Source Formatting & Link Data, you link to the data file. Colors and fonts from the Excel file you're copying from are preserved.
- You can paste the diagram as an image with the option Picture. This limits the ability to edit the diagram in the future since it will be an image.
