Learn how to embed custom fonts in PowerPoint to ensure that the correct font is used even when the recipient does not have the custom font installed.

When a font is not pre-installed in Windows or Office, it is called a special font. Even if you have a special font installed on your computer, you can never be sure that the recipient of your PowerPoint presentation has it. If the recipient does not have the special font installed, it will show that the special font is being used, but in reality, a standard font such as Calibri or Arial is being used. This happens because the font file is not included in the presentation but only referenced to.

To avoid this issue, you can embed the font in the file. This ensures that the correct font is displayed for the recipient, regardless of whether they have the font or not. If you do not embed the font in the presentation, the user receiving the file needs to have the same font installed for it to display.

Be aware that font embedding does not work well for Mac or PowerPoint Online. It is also good to know that the file will become slightly heavier.

  1. Click on Options in the File menu.
  2. Select the Save section.
  3. Scroll down.
  4. Click on Embed fonts.
  5. Choose Embed all characters. Avoid selecting Embed common system fonts because you would then embed fonts that most already have, unnecessarily increasing the file size. Also, do not choose Embed only the characters used in the document. Some letters or symbols may not be embedded this way.
  6. When you are done, select Ok. The next time you save your presentation, the fonts will be included in the file and visible to those who do not have the font installed on their computer.
