The use of headers and footers in Word has several advantages. You can ensure that important information belonging to the document, such as version numbers or contact information, is available on all pages.
The information is consistently formatted on each page, creating a visually clear structure. Headers and footers can also be used to include logos or other graphic elements that, consistently throughout the document, contribute to the organization's brand identity.
In addition, things like page numbers or chapter titles can simplify navigation in the document, which is particularly necessary in long reports.
- Double-click on the header, which is the area at the top of your Word document. When you do this, you will access the settings for headers and footers in the menu. The Header and footer tab appears at the far right of the menu and the options for headers and footers appear.
- Insert the information you wish to include in the header. In this example, a logo is inserted in the header by clicking on the Insert tab and then on the Pictures button.
- To insert content in the footer, click on the Header and footer tab in the menu.
- Click on the Go to Footer button in the Navigation section.
- Insert the information you wish to have in the footer. In this example, we will insert page numbers in the footer by clicking on the Page number button.
- Choose the settings you want for your page number, such as where they should be placed and how they should look, and then insert your selected page number.
- There are many different settings for headers and footers in the menu. For example, you can set different headers or footers for odd and even pages, which is useful when working with a document that will be printed double-sided. You can also create different headers and footers for the first page of your document. This is useful if you want to insert a lot of information (such as title, reference number, and author) on the first page without repeating it on the other pages. Or when you want to have a cover page without information in the header and footer, and only have the information on the other pages in the document.
- Close the header and footer by clicking on the red cross to the right of the menu, in the Close section.
