Instructions

There are several advantages to saving your Excel file as a pdf. Firstly, it preserves your file's formatting. Cell formatting, text, and layout will appear as you want them, regardless of the device or software the recipient uses to view it. Additionally, pdfs can be viewed on almost any device and operating system. Therefore, you can share your file without worrying whether the user opens it with a smartphone or tablet. Furthermore, the pdf will be protected from unwanted changes, have a small file size, and be easy to print.

  1. Click on File. You will find the tab at the leftmost corner of the menu.
  2. Select Save as in the left-hand menu.
  3. In the options for Save as, you will see a drop-down menu. It says Excel workbook (*.xlsx). Click on the drop-down menu.
  4. In the list of different file options, choose the pdf option.
  5. The drop-down menu closes, and below it, you can see the More options button; click on the button.
  6. In the box that appears on the screen, click on Options.
  7. In the box labeled Options, you can choose between various options for how you want to save your file. Under the Publish what section, you can choose to save one sheet, all sheets, or a selected number of sheets from your Excel file.
  8. Once you have chosen the option, click on the Save button located at the bottom right of the box.
